# Edit Item Details
After adding, and saving an item, you can add more or edit information about the item, as needed, through its Item Details page.
Note
The available tabs and information will change depending on how you define each item.
# Add Or Modify Images And Links
# To Add An Image
- click Add Image (under the Actions menu in the sidebar); or,
- select the Images / Links tab on the Item Details page for the specific item.

# To Add A Link
Click the "plus" (+
) icon to the far-left of the Links section to open a pop-up window to add the link.

# Add or Remove Tags
To add tags to an item, type the name of the tag in the Tags box. To add multiple tags to an item, separate them with a comma, or space.
Information
Tags should only use letters, numbers, hyphens (-
), and underscore (_
) characters.
Entering a tag using a comma or space will create a tag from the letters before the comma or space and start another tag using the characters entered after the comma or space.
Although a tag cannot have spaces, you can use an underscore _
or a hyphen -
to create a "separation" between multiple words in a tag, for example: another_tag
or extra-tag
.
To remove a single tag, click the small x
on the left side of the specific tag. To remove all the tags from a specific item, click the X
at the right side of its Tags box. To modify tags for multiple items, see Modify Tags.
# Edit SUMMARY tab details
Most modifiable information about an item is on its SUMMARY tab.
To edit the information in a section, click the Edit icon (blue pencil).
To save changes in a section, click the Save icon (blue check mark).
To undo changes in a section and exit edit mode, click the Undo icon (white arrow).
# Item
# Item#
Required. Each item in your auction is given a unique item number (often shown/referenced as Item#). Item numbers don't have to be simple numbers. You can use letters, but each item number can only be used once. Auctria will automatically number items if the field is left blank.
You can Renumber Items later, if needed.
# Title
Required. The item title is a one line descriptive name for the item. The Title will be used to identify the item on Bid Sheets, in the Bidder Statement, and in the Catalog.
# Type
Required. The item type controls how the item behaves. See Item Types for more information. You cannot change the list of available item types (this list is defined by Auctria) although you can change the item type defined for an item at any time.
# Item category
Item categories are user-defined. You can use categories in the online, or printed, catalog to group similar items together. See Categories for more information.
# Live#
The Live# determines the order in which items are auctioned in a live event.
You can manually change the Live Auction Ordering of items as needed.
# Description
# Description
The section provides for sharing more details about an item. The description can use multiple lines of text. When shown online, any URLs in the description will be converted to clickable links.
# Terms and Conditions
Terms and Conditions for the item. This area should be used to describe any specific terms and conditions bidders should be aware of with regards to the item.
# Donor
This section is used to describe and record any Donor related information about the item.
# Donated by
The Donor that provided the item. The Donated by field information will be shown with the item online, in bid sheets, and other printed forms, if the Donor is set to Acknowledge Publicly.
# Solicited by
This field is used for the name of the person that approached the Donor about this donation. This is, by default, an internal piece of information.
# Receiptable value
If you want to show a different value on the donor receipt than the item's value, you can provide a Receipt Value here. If this field is left blank, or set to 0, the receipt-able value is assumed to be the full item value.
This field is often commonly used by Canadian "non-profits" issuing a tax receipt to the Donor that must reflect the true cost of the item, if it was purchased on sale.
# Receipt required
This checkbox is for information purposes only. Check the box to indicate that a receipt is required.
Auctria does not automatically take any action based on this field.
# Pricing
# Value
The Value of the item that should be displayed publicly. You can enter -1
to categorize the item as "Priceless" and have that reflected in the item's value that is listed.
# Taxable value
This field is used when the Taxable Value of the item needs to be defined as something different than the item Value. In most cases, this field can be left blank. The Taxable Value is assumed to be the item Value unless you specify otherwise.
A common case for having to provide a different Taxable Value is when you are selling gala tickets.
For example, if the per ticket price is $150 and the Taxable Value of the evening is considered to be only $50, this allows bidders to claim a $100 tax deduction on the ticket price paid. In this case, you would set the ticket Value at $150, which is the receipt-able price for the purchase and set the Taxable Value at $50. Then enable the "Show tax deductible" option on the Bidder Statements' "Statement Options" panel for the amount of the difference of $100 per ticket to be displayed.
If the item's Value is "Priceless" (entered as -1
), the default Taxable Value will not be shown. If you want the entire amount of the bidder's bid to be tax deductible, enter -1
as the Taxable Value as well.
# Fundraising Target
This is intended for use with Donation Items and set as the amount you are looking to raise with this item. Setting a value for this option will show a progress message as well as include a Thermometer element in the Item Details card showing the progress to the target value.
These "component" elements are not editable and will only use the current theme colors.
# Sales tax category
The Sales tax categories are user-defined. You can use categories to organize items for your event and to make it easier to filter items. See Categories for more information.

# Consignment category
The Consignment categories are user-defined and used to specify rules for creating expenses when the item is sold. See Consignment Items for more information.
# Consignment Minimum
The minimum cost for a consignment item. The minimum cost of the expense generated when this item is sold. This amount can be defined whether or not a consignment category is also defined. If a consignment category is defined, and a percentage for calculating minimum expense is used, the Consignment Minimum defined here will be used as the lowest expense possible.
# Consignment Maximum
The maximum cost for a consignment item. The maximum cost of the expense generated when this item is sold. This amount can be defined whether or not a consignment category is also defined. If a consignment category is defined, and a percentage for calculating maximum expense is used, the Consignment Maximum defined here will be used as the highest expense possible.
# Donation Items
This section is only available for Donation Items.
- Show during bidder registration
Enabling this for the item will have it display as part of the bidder registration processes. - Print bid sheet
Enabling this option will include the item when printing bid sheets. - Donation Levels
This can be set as a comma separated value list of specific amounts. Combining an asterisk (*
) with the list of values will display buttons for each value as well as a field where donors can enter the amount they want to give.
# For Sale Items
This section is only available for items with the For Sale Items type. A placeholder will be shown but no details will be available if the item type is not set to "For Sale".
Admission Tickets Included
The number of event admission tickets that a purchase of this item represents. See Sell Tickets for more details.Do not use for raffle, drinks, or similar tickets.
Always share a bidder# between guests when this item is bought.

# Availability
This section is used if an item allows for multiple winning bidders and sets the available quantity.
Allow multiple winners
Use this check box to allow for multiple winning bidders.IMPORTANT
Enabling this function will require the Quantity field have a value set to enable online bidding for the item unless the items are set as Buy It Now Only Items.
Quantity
Enter the number available, leave blank for an unspecified quantity
# Bidding Rules
The Bidding Rules section is not available for items with the For Sale type and are used strictly as informational only for Partial types.
Starting Bid
For silent and online auction items, the Starting Bid specifies the minimum bid a bidder can place on an item. This minimum bid amount is only enforced for online bidding or pre-bidding. It can also be shown on the bid sheet, or in the auction catalog.Bid Increment
The Bid Increment denotes the minimum amount a bid must be raised with an online, or silent, auction item. If you configure the bid sheets to pre-populate the bid amounts, this will only happen if the item has both a Starting Bid and a Bid Increment applied. The pre-populated values will reflect the starting bid and increments in multiples of the bid increment value.Buy It Now Price
The Buy-It-Now Price provides a price the bidder can bid to immediately win the item and stop further bidding on the item. This is supported for online, and silent auction, items.The Buy-It-Now Price can be displayed in a box on the bid sheet. See Allow Multiple Quantities for more information about how Buy-It-Now Price interacts with an item supporting multiple winners.
The Buy It Now Price is the maximum bid value accepted for an item, if a bidder enters a higher value the bid will be reduced to the Buy It Now Price and the bidder will be acknowledged as having the winning bid.
Reserve Price
This is the minimum bid required for the item to be won at auction.
# Online Bidding
Participate in online bidding
The default should be enabled. If this option is not enabled the item will not be available online.Closing Mode
The Default option follows the conditions set for the online auction in general.
The Timed option will have the item close based on the online bidding time.
The Manual option will not close based on time, but must be manually closed and will always appears open for online bidding (until it is closed).
With Manual mode, the Mobile App will always show as having its bidding time end the following year if it is open; in the new web site it will not show an ending time.
Override online bidding starts at
Use this override field if you need to set a start time/date other than the auction default. If left blank, the auction default time is used. See Auction Details for more details.Override online bidding ends at
Use this override field if you need to set an end time/date other than the auction default. If left blank, the auction default time is used.This field applies to items with a type of online, silent (with allow online pre-bidding = yes), and For Sale (ticket) items. For Tickets, you could use these to automatically set the time when different items start, or end, in a purchase element. For example, you can set the end time on an early bird ticket item and the start time on a regular ticket item.
# Options
# Is basket lot/package?
If selected, the CONTENTS tab will become available allowing you to define the items in the basket lot/package. See Baskets & Packages for more information.
# Is gift certificate
If selected, the item will be identified as a gift certificate. The system can generate a "simple" gift certificate for each gift certificate item. Gift certificates can also be identified on the checkout page, and bidder statement page, so bidders can know if they have to collect one. See Gift Certificates for more information.
# Highlight item
If selected, the item is shown on the Highlights page on the auction website and included in the Highlights slide show in Kiosk Mode.
# Exclude from catalog
If selected, the item will not be shown in either the online, or printed, auction catalog.
Note
This does not exclude the item from the auction, it only "hides" the item from the public views. A bidder can still gain access to this item from a previous bid notification or via its item details URL and place bids if the item is still open.
# Other
# Location
This is generally used to set where items are physically located at the physical auction event site.
# Closing Time
For silent auction items, the time when bidding on this item (or table) is set to close. The Closing Time field is just a piece of informational text, it will display whatever is placed in the field. To display a specific date and time, you would need to enter the complete details of that date and time.
# Form
This section allows you to adjust the default text used with the item.
# Display page text
If set, this text is used on the display page instead of the description.
# Bid sheet text
If set, this text is used on the bid sheet instead of the description.
# Certificate text
If set, this text is used on the certificate instead of the description.
# Catalog text
If set, this text is used in the auction catalog instead of the description.
# Statement text
If set, this block of text will be shown on the bidder statement where the item is referenced. Statement text is shown in addition to the item description, if an item description is available.
# Notes
Internal information about the item. Not shown publicly.
