Admin App Check-In
The Auctria Admin App allows event organizers to check in guests using their phones. Guests can add credit cards or pay with a tap, and organizers can update guest information, including credit card details. The app also enables checking in multiple participants, guests of participants, and new guests, as well as linking participants and assigning paddle numbers.

Introduction
Hi, everyone, and welcome to the Auctria Academy Training Series! In this video, we will Check In with the Auctria Admin App.
Auctria's Admin App gives event organizers complete control over guest check-in and check-out with their phones. Guests can also add a credit card to their file or pay with a tap!
Let's review how to use the Auctria Admin App for Check-In. To ensure the process goes smoothly, you should have the guest's name, email address, phone number, and credit card on hand.
Basic Check-In
Sign In to the Admin App
Open the Admin App from your phone and sign in to your account with your email and password.
Select your Organization from the list and the name of your Event. This will open the home page of the Admin App.
From here, tap Check-in at the bottom of the page, which will open your list of guests who can attend your event.
Select Guests
To find your guest on the list, scan the QR Code on their ticket or type part of their name in the search bar and tap it from the results. Any guests they are linked to will also be selected automatically.
Update Guest Information
We've just opened our guest's check-in page; their details are here. To update their name, contact details, or other information, click the pencil icon next to the section you wish to update.
Once you have updated the information, click the checkmark to save your changes.
Update Credit Card Details
If your guest has a registered card on file, the last four digits of the credit card will be displayed here.
To add a new card, tap the Register Card button.
The Admin App works as a Tap-to-Pay device, allowing you to tap the card to your smartphone or Bluetooth reader and automatically register the card information quickly and securely.
Once the card is registered successfully, you will see the last four digits on their check-in page.
To remove an existing card, click the Remove Card button.
Complete Check In
Click Check-In Guest to complete the check-in process. A green Checked-in badge will appear next to their name on the list, and the guest will receive a check-in message via email and text if Texting is enabled.
These will include a link to your event website, which will automatically sign them in when they click on it. Your guests can use this link to participate in online bidding.
Check-In with QR Code
Let's check in a guest who has a ticket with a QR code. To open the camera, click the Scan QR Code button at the top right next to the search bar. This will use your device's camera and allow you to scan the QR code.
The guest's check-in page will open automatically, where you can see their details.
Once you have verified everything is correct, tap the Check-in button at the bottom of the screen.
Check In Multiple Participants
Let's check in multiple people at once. We can do this by searching for their names, tapping the check boxes next to their names in the guest list, and then tapping Next at the bottom.
You can tap the boxes at the top to toggle between the guests and edit their information.
You can remove guests from the current check-in by tapping the X button on the right of the box.
Once you have verified their information, tap the Check-in button at the bottom of the screen.
Check In Guest Of Participants
If you cannot find the guest's name on your list and they do not have a ticket with a QR code, they could be listed as the guest of the person who bought their ticket.
In this case, please enter the name of the person or group that bought their ticket into the search bar.
This will populate the list with the records that match the name, and any additional tickets they have purchased will be listed as "Guests of..." records.
Tap one of the available "Guest of..." entries and update the information with the details of the person you are checking in.
This may include updating their contact information, such as email and phone number, or registering a credit card. If your event uses paddles, you should provide their paddle number.
Once you have entered their information, click the Check-In Guest button to complete the process.
Check In New Guests
Sometimes, you may need to add a new guest to your list during Check-In.
We can do this by tapping New Guest at the top of the Check-In screen.
This opens the Add New Guest window, where you can enter all their information.
If your event uses paddles, you can enter the paddle number you wish to use in the first field. Leave this field as-is to let Auctria assign the following paddle number automatically.
Once you have entered their information, click the Add New Guest button to complete the process.
This will create a new record for them and open the check-in details page. Here, you can add contact information or register a credit card. Then, to complete their check-in, tap the Check In button.
Linking Participants
Some guests may wish to share a paddle number for your event. Auctria lets you link guests together at check-in.
Select the guests you wish to link and tap Next. Then, select the record of the guest whose paddle number they would like to share. Tap Link Selected Bidders; the guests will now share the same paddle number and be able to pay using the same credit card.
You can link more guests together by tapping Link Bidder and typing their name into the search box.
If a linked guest wishes to use their paddle number, you can unlink them by tapping Unlink. This action will assign the unlinked guest a new, unique paddle number.
Paddles at Check In
You can assign or reassign paddle numbers at check-in. To do this, tap Change#. This will open the Change Paddle# window. Enter a new number and tap Change Paddle# or Auto Assign A New Paddle# to let Auctria assign one automatically.
If you enter a number currently assigned to another guest, you will see a warning message on the Change Paddle# window. Be careful because if you use that number, the participant you check in will be linked to the guest currently assigned the number and can use either person's credit card.
