# Item Numbering
If you have been assigning numbers as items arrive or allowing the system to set numbers automatically, you may wish to renumber certain items according to specific criteria.
The item numbering page allows you to do this.
On the Item Dashboard, click Numbering.
The Renumber Items page appears.
There are two main sections to this page:
the top section allows you to specify the criteria for renumbering items
the bottom section selects the items that will be included in the renumbering process
# Renumbering Criteria
Enter the first number and the number increment to be used for renumbering. For example, if the first number is set to 100 and the increment is 1, the items will be numbered 100,101,102, etc.
You can then specify up to 3 sorting levels.
The sorting levels will be applied in order: so if you specify Item Type and then Title, then all items will be sorted by type and then within the type sorted by Title.
# Rounding Rules for Sorting
Sorting key and Grouping key are used interchangeably in this section. The screenshots will be made consistent in a future update.
You can also set up rounding rules which apply whenever the appropriate key changes.
This is used to achieve numbering scheme like all live items should be 1000, 1001, etc and all silent items would be 2000, 2001.
To do this you would set the Sort first by selection to Type and the Round up on first sorting key selection to 1000.
Since all the live items would be sorted together (they have the same type) they will be numbered sequentially but when the first key (type) changes the current item# will be rounded up to the next multiple of 1000.
# Choosing Items
Use the Choosing Items functionality to select the items to include in the renumbering.
When the correct items to be renumbered are listed, click Renumber Items to perform the renumbering.
It is not possible to undo a renumbering operation. Make sure you have the right items and criteria selected.
A confirmation message will appear and the renumbered items will be listed.
If you wish item numbers to have letters integrated, such as, #100b, then the numbers would have to be changed in each Item Details page individually.
# Renumbering Examples
Often it is not possible to set up the renumber criteria to handle everything in one operation. In these cases, you may need to perform multiple renumbering operations to accomplish your goal.
For example, if you want to renumber live items starting from 1, 2, ... based on value but want silent items to be grouped by category, you would need to perform two renumbering operations: the first selecting just the live items; and, the second selecting the silent items.
Generally, it will not matter which order the operations are performed. If there are items that collided with a renumbering operation, e.g.: you renumber live items 1,2,3,... but have a silent item# 3 already then that item will be moved out of the way. It will then in turn get renumbered when you apply the silent numbering ordering.
The screenshots below show some common settings for renumbering items.
# Silent Items by Category
These settings will renumber just the silent items based on category: 100, 101, 102, 200, 201, 202, etc.
By default the item categories will be sorted alphabetically, e.g. Electronics, Sport, Travel
If you want to have a different ordering for the categories you can use the Sort Index field on the item category itself.
See Ordering Categories for more details on how to set this up.
# Move Partial Items Out Of The Way
If you have partial items mixed in with your other items, you may want to renumber them so they have high numbers are aren't listed with the others.
Renumbering partial items will not cause any problems with the baskets they are assigned to. Items will remain in the same basket after the renumbering operation.
